Here’s everything you need to know about payments, cancellations, and protecting yourself with travel insurance.

Flexible Payment Plans

We offer tiered payment plans depending on when you book your trip, with the goal of making this journey accessible and manageable. Your non-refundable deposit secures your spot and helps us cover advance expenses like lodging, transportation, and local logistics.

You can review the specific payment deadlines on your booking page, but rest assured: we’re here to support you every step of the way with flexible options and clear communication.

Refunds & Cancellations

We understand that life is unpredictable. If you need to cancel, we’ve created a fair sliding-scale refund policy based on how close we are to departure:

  • 120+ days before departure: Full refund, minus the deposit

  • 90–120 days: 60% refund (minus deposit)

  • 60–90 days: 40% refund (minus deposit)

  • 30–60 days: 20% refund (minus deposit)

  • Less than 30 days: No refunds

If we need to cancel or reschedule your trip (including for a Force Majeure event like a natural disaster or political emergency), you’ll have the option of a full refund or trip credit. We do not, however, cover your personal expenses (like airfare or visa costs), which is why we strongly encourage travel insurance.

Why You Should Buy Travel Insurance

We require all guests to acknowledge that they are fully responsible for their own travel protection. While MycoTreks is professionally insured (more on that below), our policy does not cover:

  • Trip cancellations, interruptions, or delays

  • Missed flights or visa issues

  • Medical expenses, hospital visits, or emergency evacuation

  • Stolen or lost luggage

We strongly recommend purchasing comprehensive travel insurance at the time of booking to protect your investment and your wellbeing.

Our Professional Liability Insurance

MycoTreks is a fully insured tour operator, covered under a Travel Agents & Tour Operators Professional Liability Policy by Berkshire Hathaway Specialty Insurance Company.

This policy protects you as well as us in the event of:

  • Bodily injury or property damage during a MycoTreks-led activity

  • Errors or omissions in trip coordination or logistics

  • Accidental personal or advertising-related injury

Our coverage includes:

  • Up to $1,000,000 per incident, including coverage for local guides and trip leaders acting on our behalf

  • Up to $50,000 in fire-related property damage

  • Worldwide jurisdiction—because fungi know no borders
